There are many barriers in managing capital assets effectively throughout their lifetime. One of the most formidable roadblocks is the silo-thinking.
In recent years, as companies begin to think more strategically about their assets, demand for a more integrated approach has steadily increased.
Furthermore, rising asset cost and complexity have resulted in a surge in operational and financial risk, such as consequences of catastrophic failure. In turn, this has intensified pressure from shareholders and regulatory bodies to improve lifecycle costing and reporting.
Asset Lifecycles
- The asset lifecycle has eight main stages:
- Strategy / Plan: Long term capital plan that includes replacement of aging assets, as well as new assets that accommodates growth and an ever-changing strategic plan for overall corporation
- Design: Execution of Stage 1 plan begins with the design phase, where internal and external engineering resources are responsible for the design of new or replacement assets
- Build / Procure / Acquire: Once stakeholders accept a design, the asset is built, purchased or acquired through the efforts of the procurement department using external vendors
- Installation: Internal engineering, operations and maintenance resources work with external vendors to install and test the asset
- Operation: This stage provides the greatest source of revenue, and ultimately, the return on capital employed. It’s the longest and most expensive stage in an asset lifecycle
- Maintenance: During the Operation stage maximum availability, reliability and performance of the assets at minimal cost is desired
- Modification / refurbishment: From time to time, a business need or technology change precipitates a modification to the assets by engineering, maintenance or an external vendor
- Disposal: When an asset is no longer satisfying the needs of the business in a cost effective manner or is at the end of its useful life then the assets are retired The asset lifecycle has eight main stages:
- The Total Cost of Ownership (TCO) for an asset is much higher than the purchase price.
- As shown in the figure below, almost 80% of the lifecycle cost is incurred during Operate, Maintain, and Modify / Refurbish stages.

Asset Master - This module involves capturing all details of an Asset such as its identification, setup related to maintenance, acquisition, disposal, documents, accounting & contacts
Asset Transactions - Transactions related to the assets are captured in this module. For e.g. Receivables such as Rentals, Payables such as Charges, Fees, Taxes, Maintenance expenses etc.
Asset Reporting - This will facilitate viewing and printing various kinds of pre-defined reports. For e.g. Asset Register, Newly added assets, List of Payments due for a specific duration etc.
Administration - This module will help administer the system by means of maintaining master information other than an asset. For e.g. Locations, Divisions, Asset Classes, Acquisition Types etc.
